Commercial Furniture Project Coordinator

Role Summary

We are a Best-in-Class US-based commercial furniture dealership looking for a seasoned Project Coordinator to join our team remotely. You won't just be entering data—you will be the operational heartbeat of our projects, keeping everything moving seamlessly from order placement to final installation. Key Responsibilities

• Own the project lifecycle from internal handoff through delivery, installation, punch list, and final closeout.
• Drive the data by entering and maintaining quotes, sales orders, purchase orders, and change orders within our dealership ERP systems.
• Act as the final quality check, reviewing orders, specs, drawings, finishes, quantities, and pricing for pinpoint accuracy.
• Master the acknowledgements by auditing manufacturer responses and resolving discrepancies before they impact delivery schedules.
• Control the timeline by tracking lead times, ship dates, backorders, and substitutions, keeping all stakeholders proactively updated.
• Navigate the unexpected by coordinating revisions and change orders, ensuring all systems and teams remain perfectly aligned.
• Set the stage for success by supporting delivery and installation readiness, including logistics, site access, and field requirements.
• Close it out by driving punch-list resolutions, warranty issues, replacement orders, and invoicing prep.

What We’re Looking For

• 2+ years of hands-on experience in commercial furniture project coordination, dealer operations, or order management.
• Direct experience with a commercial furniture dealership, contract manufacturer, or workplace interiors company (highly preferred).
• Familiarity with major industry players like Steelcase, Haworth, MillerKnoll, Teknion, Kimball, Allsteel, HON, or Humanscale.
• Deep understanding of the furniture project lifecycle: order processing, acknowledgements, lead times, delivery, and punch.
• An eagle eye for detail—you catch discrepancies before they become costly site issues.
• Exceptional ability to juggle multiple active projects and shifting priorities without breaking a sweat.
• Clear, confident written and verbal communication skills.
• The discipline and self-motivation to thrive independently in a remote environment.

Systems & Software

• Experience with dealership ERP or order-management systems (Hedberg, Khameleon, NetSuite, ProjectSpec, etc.).
• Preference for candidates with CET/Configura exposure. Familiarity with AutoCAD, CAP, 2020, or ProjectMatrix is a big plus.
• Note: We care more about your actual furniture workflow experience and how you utilize these systems than strict expertise in one specific platform.
